This video shows you how to set up and use custom field filters within your Analytics dashboards in Payaca.
This guide will help you understand how to use the Custom Fields filtering feature within Payaca's Analytics. You can now configure your personal analytics dashboards to filter by the custom fields you have set up, allowing for more granular and specific insights into your project data.
Here, you can learn how to configure these filters and apply them to your Project Analytics.
Step 1: Configuring Your Custom Field Filters
The setup for analytics filters is managed within your personal profile, allowing each team member to tailor their view to their needs.
In your Payaca account, click on your logo/profile icon in the top right corner.
Go to Profile.
Click on the Analytics tab.
You will see options to set up to three custom fields to be used as filters (e.g., "Custom Field 1", "Custom Field 2", and "Custom Field 3").
For each slot, use the dropdown menu to select the custom field you want to filter by. In the example, these are mapped to "Closed Lost Reason", "Site Use", and "HVAC System".
These settings are saved automatically, and you can come back and change them at any time.
Step 2: Using Custom Fields in Project Analytics
Once configured, your chosen custom fields will appear as filters on the Project Analytics dashboard.
Navigate to Analytics in the main left-hand menu and click on Projects.
At the top of the dashboard, you will now see your selected custom fields available as filters.
To use a filter, click on it and select one or more values. For example, to see only commercial projects, you could click the "Site Use" filter and select "Commercial".
Click the "Apply" button. The dashboard will then reload, showing only the data from projects that match your filter criteria.
What is Filtered and How to Export Data
What is Filtered:
The main analytics graphs, such as "Project Conversion Rate" and "Financial Value of Projects", will update to reflect your filtered data.
The project data table at the bottom of the page will be filtered to show only the matching projects.
The custom field data for each project will be visible in the columns of this table.
What is NOT Filtered (Currently):
The pipeline stage conversion graphs are not currently affected by these custom field filters.
Exporting Data:
If you want to export your filtered data, you can do so directly from the project data table.
Click the three dots (...) at the corner of the table and select the option to download the data as a CSV file.
Future Developments
This custom field filtering capability is currently available only in the Projects Analytics module. We plan to bring more custom field analytics capabilities to all of the analytics dashboards in the future.
