Introduction to Direct Orders
You can now make orders directly with City Plumbing.
Orders will go directly into your City Plumbing online account.
This process saves time by eliminating manual purchase orders.
Automatic Purchase Order Creation
Purchase orders are created automatically.
They sync with your accounting software (Xero or QuickBooks).
Connecting Your City Plumbing Account
Go to the Connections page to connect your City Plumbing account.
Click on 'Connect City Plumbing'.
Accessing Materials for Your Project
Navigate to the Materials tab to access City Plumbing materials.
Check the stock availability for your project.
Adding Items to Your Order
Select items you need (e.g., heating equipment, solar items).
Add selected items to your order summary.
Creating a Purchase Order
Click on 'Create PO' to pull items into the purchase order.
Review stock availability and proceed.
Setting Delivery Options
Set the collection or delivery address (pre-populated options available).
Choose between delivery or collection options.
Finalising Your Order
Review the summary of items and prices before submitting.
Submit the order to create the purchase order.
Order Acknowledgment and Notifications
The order status will change to 'acknowledged'.
Receive updates on delivery status and notifications in-app.
Tracking Material Costs
The purchase order will convert to a purchase.
Track material costs without manual checks.
Viewing Submitted Orders
Access your City Plumbing online account to view submitted orders.
The process is now easier and more efficient.
Feedback
The new process simplifies ordering and provides live stock information.
Feedback is encouraged to improve the service.
Troubleshooting Missing City Plumbing Discounts
If you are not seeing your agreed discounts from City Plumbing appearing in Payaca, it is most likely because the discounts are not correctly configured on your City Plumbing trade account. Payaca pulls the prices directly from what is shown on the City Plumbing website.
Follow these steps to check your setup and verify your pricing.
Confirm Your Account Number Matches
First, log in to your account on the City Plumbing website and go to your Account Dashboard.
Take note of the account number listed there.
In a separate tab, open your Payaca account and navigate to the Connections page.
Check that the account number entered in Payaca for the City Plumbing connection is exactly the same as the one on the City Plumbing dashboard.
Verify Discounts are Active on the City Plumbing Website
On the City Plumbing website, search for a product that you know has a discount applied to it.
Confirm that you can see your discounted price on the product page.
Important: If you do not see your discount here, you will need to speak to your City Plumbing representative to resolve the issue on their end. Payaca can only display the prices that are active on your City Plumbing account.
Verify the Price in Payaca
Once you have confirmed the discount is showing correctly on the City Plumbing website, copy the Product Code for that item.
In Payaca, go to the Materials search and paste in the product code to pull up the same product.
Confirm that the price you see in Payaca matches the discounted price from the City Plumbing website.
Once you have confirmed the prices match, you can be confident that your City Plumbing discounts are pulling through to your Payaca account correctly.
