Managing Payment Schedules in Payaca
We’ve made managing payment schedules easier and more flexible. This guide walks you through how to set up, edit, and adjust payment schedules within proposal templates and projects.
Creating a Payment Schedule in Proposal Templates
1. Go to Templates
• Click on Templates (top right)
• Select Proposal Templates
2. Edit an Existing Template or Create a New One
• Open an existing proposal template or create a new one.
• Locate the Payment Schedule section.
3. Adding Payment Stages
• Click Add Stage to set up a new payment stage.
• Assign a stage name (e.g., “Deposit”).
• Enter a percentage amount (e.g., 25%).
• Tick the “Pay on Acceptance” option to allow the deposit to be paid automatically when the proposal is accepted.
4. Completing the Schedule
• Continue adding stages (e.g., 40% for the next stage).
• The system ensures all stages total 100%.
• Click Save to update the proposal template.
Applying a Payment Schedule in a Project
1. Create a New Project
• Go to Projects and click Create a New Project.
• Enter the site address and other relevant details.
2. Apply a Proposal Template
• Select the appropriate proposal template.
• Apply it to the project.
3. Adjusting Payment Schedules in a Project
• Open the Payment Schedule section.
• Modify amounts in pounds (£) or percentages (%) as needed.
• The system will automatically adjust other stages to ensure the total equals the project amount.
4. Editing Individual Stage Amounts
• You can now directly enter a fixed amount for a specific stage (e.g., £7,500).
• If the total exceeds 100%, adjust other stages accordingly.
• Delete unnecessary stages if required.
